Verification

Verification is a process where Linfield College is required, per federal law, to compare results from a student’s Free Application for Federal Student Aid (FAFSA®) with required acceptable documentation. The Office of Financial Aid at Linfield will request acceptable documentation from the student to verify the accuracy of the completed FAFSA®, and if there are any differences Linfield will submit corrections back into the federal processor and the student will receive an updated FAFSA® reflecting the corrections.

The U.S. Department of Education (ED) selects students for the process of verification. Students not selected for verification by ED may be chosen for institutional verification at the discretion of the Financial Aid Administrator (FAA). Linfield will resolve any conflicting information, whether or not the student was selected for verification. Students who submit verification documentation unsolicited will have their documentation reviewed by Linfield and compared to their FAFSA® to ensure accuracy of the FAFSA®. The type of documentation the student is required to submit depends on the verification group that ED has assigned, or the type of conflicting information that Linfield must resolve. If the data conflicts Linfield will submit a correction to ED, and notify the student of any revisions to their financial aid award.

Our office will notify the student which documents are required for submission to our office for the review. Initially the student will receive a letter sent via USPS notifying them they are selected for Verification and what documentation is required. Continuing Linfield students will initially receive a letter and an email to their Linfield email, and then subsequently email reminders will be sent to them until the documents are satisfied. Dependent students required to report parent information on their FAFSA® must provide information for themselves, and their parent(s). Independent students are required to report their information, as well as their spouse’s information, if married. Check your Linfield email frequently to ensure you submit documents timely. Adobe Acrobat Reader is required to view them. Fill them out completely and don’t forget your signature and submit them to the Office of Financial Aid at Linfield. 

The Office of Financial Aid will verify the accuracy of the completed FAFSA with the required documentation, and if there are any differences Linfield will submit corrections back into the federal processor and the student will receive an updated FAFSA reflecting the corrections. Below are the following items that Linfield may be required to verify, this list is not all-inclusive, as Linfield must resolve any conflicting information and rejects:

  • Adjusted gross income (AGI) 
  • U.S. income tax paid 
  • Education credits 
  • Untaxed portions of IRA distributions 
  • Untaxed portions of pensions 
  • IRA deductions and payments 
  • Tax exempt interest income 
  • Income earned from work 
  • Number of household members 
  • Number in college 
  • High school completion status 
  • Identity/statement of educational purpose 
  • Other untaxed income:
    • Payments to tax-deferred pension and savings 

Verification for Tax Filers

2017-2018

For 2015 federal tax filers, we recommend that you utilize the IRS Data Retrieval Tool (DRT) process within your FAFSA® on the Web. Alternately, if you are unable to utilize the IRS DRT, you may obtain a copy of your 2015 IRS Tax Return Transcript by ordering online from the IRS at http://www.irs.gov/transcript. Another method to obtain your 2015 IRS Tax Return Transcript is to call the IRS toll free at 1-800-908-9946 to order one to be mailed to you. Visit the IRS for other federal tax forms such as IRS 4506-T. On March 30, 2017 the US Department of Education sent out a press release update stating that the IRS Data Retrieval Tool (DRT) is disabled until the next FAFSA cycle. On April 24, 2017 the US Department of Education provided guidance that provides relief due to the IRS DRT being disabled until the next FAFSA cycle. For US tax filers who are unable to utilize the IRS DRT, and unable to obtain a copy of their 2015 IRS TRT, we can now accept a signed copy of 2015 IRS Form 1040, 1040A, or 1040EZ.

Individuals who filed, or will file, a 2015 income tax return with Puerto Rico, another U.S. territory (e.g. Guam, American Samoa, the U.S. Virgin Islands, the Northern Marianas Islands), or with a foreign country, must either provide a 2015 tax transcript from their local taxing authority, which is free of charge, or a signed copy of 2015 tax return filed with their local taxing authority, because the 2015 tax transcript was not free of charge. For foreign tax returns not in U.S. dollars, you must convert the monetary amounts into U.S. dollars.

All tax filers are requested to provide copies of their 2015 IRS W-2 forms for Verification, or an equivalent document. Federal tax filers that have business income may have to submit a copy of their 2015 Schedule C. Federal tax filers that have income listed on IRS Schedule K-1 box 14, code a, may have to submit a copy of their 2015 IRS Form 1065 or Schedule K-1. Federal tax filers who have income listed farm income may have to submit a copy of their 2015 Schedule F.

2018-2019

For 2016 federal tax filers, we recommend that you utilize the IRS Data Retrieval Tool (DRT) process within your FAFSA® on the Web. For individuals who filed a 2016 tax return with a foreign country, or with another relevant tax authority, such as with Guam, American Samoa, or the Commonwealths of the Northern Mariana Islands, Puerto Rico, or the U.S. Virgin Islands the following documents must be provided to Linfield. Foreign tax filers must provide a copy of their 2016 foreign tax transcript, if free of charge, or a signed copy of 2016 tax return filed with local taxing authority because the 2016 transcript was not free of charge. For foreign tax returns not in U.S. dollars, you must convert the monetary amounts into U.S. dollars as of the day the 2018-2019 FAFSA® was filed. 2016 tax filers with American Samoa must provide a copy of their 2016 tax account transcript. 2016 tax filers with Guam, or Commonwealths of Northern Mariana Islands, Puerto Rico, or U.S. Virgin Islands must provide a signed copy of their 2016 income tax return filed with the relevant tax authority.

Victims of Identity Theft

2017-2018

For a 2015 federal tax filer who is a victim of IRS-related identity theft you must contact the IRS’s Identity Protection Specialized Unit (IPSU) at 1-800-908-4490 to obtain a copy of your 2015 Tax Return Data Base View (TRDBV) transcript. You must submit a copy of your TRDBV and a statement signed and dated by you, the tax filer, indicating that you are a victim of IRS tax-related identity theft and that the IRS has been made aware of the tax-related identity theft.

2018-2019

For a 2016 federal tax filer who is a victim of IRS-related identity theft you must contact the IRS’s Identity Protection Specialized Unit (IPSU) at 1-800-908-4490 to obtain a copy of your 2016 Tax Return Data Base View (TRDBV) transcript. Then provide a copy to Linfield of your 2016 Tax Return Data Base View (TRDBV) transcript, and a statement signed and dated by the filer indicating they were a victim of IRS tax-related identity theft and the IRS is aware of the tax-related identity theft.

Amended Federal Tax Returns

2017-2018

For a 2015 federal tax filer who had to file an IRS 1040X form to amend their 2015 Federal IRS Tax Returns, you must submit a copy of your 2015 IRS Tax Return Transcript that includes information from the original return, and a signed copy of your amended IRS Form 1040X 2015 Tax Return that was filed with the IRS.

2018-2019

For a 2016 federal tax filer who had to file an amended tax return with the IRS, provide to Linfield a copy of the 2016 IRS Tax Return Transcript reflecting the original filing data, and a signed copy of the 2016 IRS Form 1040X, “Amended U.S. individual income Tax Return” that was filed with the IRS.

Federal Tax Return Extensions

2017-2018

For 2015 federal tax filers who file an extension of their 2015 Federal IRS Tax Returns, we must receive copies of their 2015 IRS 4868, "Application for Automatic Extension of Time to File form" filed with the IRS. In addition, copies of all 2015 W-2 Statement(s), and if self-employed a signed statement certifying the amount of the individual’s Adjusted Gross Income (AGI) and the U.S. income tax paid for tax year 2015. Also, a copy of the IRS approval of an extension beyond the automatic 6-month extension letter, and a copy of confirmation of IRS Verification of Non-Filing Letter, which can be obtained from the IRS by completing IRS Form 4506-T and checking box 7.

2018-2019

For 2016 federal tax filers who were granted a filing extension by the IRS, beyond the automatic six-month extension for tax year 2016, because of unusual circumstances submit the following documents to Linfield. Copy of 2016 IRS Form 4868, ‘‘Application for Automatic Extension of Time to File U.S. Individual Income Tax Return.” In addition, submit a copy of the IRS's approval of an extension beyond the automatic six-month extension for tax year 2016. Submit a Verification of Non-filing Letter (confirmation that the tax return has not yet been filed) from the IRS dated on or after October 1, 2017 obtained from the IRS by completing IRS Form 4506-T and checking box 7. Also, submit copies of IRS Form W–2 for each source of employment income received or an equivalent document for tax year 2016 and, if self-employed, a signed statement certifying the amount of the individual’s Adjusted Gross Income (AGI) and the U.S. income tax paid for tax year 2016.

Verification for Nontax Filers

2017-2018

For 2015 nonfederal tax filers and 2015 federal tax filers that have earned income we are required to collect copies of your 2015 W-2 Statements. If the student is married, we also must collect 2015 W-2 Statements for your spouse, or if you are Dependent on your FAFSA®, we must collect 2015 W-2 Statements for your parent(s). If you have misplaced your 2015 W-2 Statements, you can order a copy of your Wage and Income Transcript from the IRS at http://www.irs.gov/transcript.

For 2015 nonfederal tax filers we must receive a copy of proof from the IRS, Verification of Non-filing Letter, that you did not file a return in 2015. Complete IRS Form 4506-T or 4506T-EZ, mark box 7, to obtain this letter to provide to the Office of Financial Aid. Due to the relief offered beginning April 24, 2017, 2015 nonfederal tax filers can submit a signed statement certifying that they are not required to file a 2015 federal income tax return and list of the sources of any 2015 income earned by the individual from work and the amount of each source; and submit a copy of all IRS Form W-2, or an equivalent document, for each source of 2015 employment income received by the individual.

2018-2019

2016 nontax filers must document on the Verification Worksheet whether or not they worked in 2016. For Dependent students who had no income from work in 2016, and were not required to file a 2016 IRS tax return, they must document so on the Dependent Verification Worksheet. For Independent students who had no income from work in 2016, and were not required to file a 2016 IRS tax return, they must document so on the Independent Verification Worksheet and must also provide confirmation from the IRS of 2016 nonfiling. Complete IRS Form 4506-T or 4506T-EZ, mark box 7, to obtain this Verification of Non-filing letter to provide to the Office of Financial Aid.

For 2016 nontax filers who worked in 2016, but were not required to file a 2016 taxes they must document so on the Verification Worksheet, and must provide copies of all 2016 IRS W-2 forms, or equivalent form, for each employer, even if the employer did not issue a W-2. Independent students, their spouse, if married, and parents of dependent students must also provide confirmation from the IRS of 2016 nonfiling. Complete IRS Form 4506-T or 4506T-EZ, mark box 7, to obtain this Verification of Non-filing letter to provide to the Office of Financial Aid.

Verification Changes

The Office of Financial Aid is required to make corrections to inaccurate information discovered through the Verification process and to use the verified information in determining a student's eligibility for financial aid. Corrections made to a student's aid application may cause a change in eligibility and result in a revised award notification.

Timeframes

2017-2018

Continuing students are to submit their Verification documents into the Office of Financial Aid by May 1, 2017. Offers of financial aid will not be finalized nor will any funds be disbursed to your student account if Verification is required but incomplete. Failure to complete Verification may also result in the cancellation of your financial aid.

2018-2019

Continuing students are to submit their Verification documents into the Office of Financial Aid by May 1, 2018. Offers of financial aid will not be finalized nor will any funds be disbursed to your student account if Verification is required but incomplete. Failure to complete Verification may also result in the cancellation of your financial aid.

Ultimately, if a student does not complete the verification process by the end of their enrollment period, they may be ineligible for financial aid. In some cases, the student may be eligible for a late disbursement after the term is over, or in cases where the student is no longer enrolled. Late disbursements may occur when a students’ verification has been completed, and ED has processed the FAFSA® output document with an official Expected Family Contribution (EFC) while the student was still enrolled. Generally, a student ceases to be eligible for aid once the student has finished the term and is no longer enrolled.
