Entourage - Folder Sharing

Stop Sharing a Folder

You can share an email folder (or an account) with a co-worker and give them a permission level ranging from Owner (full access) to Reviewer (read-only access) depending on what activity you would like them to perform with the email messages inside.

The following steps are for sharing an email folder that is within/under the Inbox.

Sharing an Email Folder

1. Select/highlight Exchange Account.

  • Press the Ctrl key and Mouse Click on the Exchange Account mailbox.

OR

  • Right Click on the Exchange Account mailbox.

2. A submenu appears, choose Sharing.

3. A Folder Properties dialog box will appear.

4.  Click on Add User button.

5. A Select User dialog box will appear.

6. Start typing in the name of the person you would like to share with and click on the Find button.

7. Matched name(s) will appear in a list below, select/highlight the name you wish to share with and click the OK button.

8. The users name will appear in the Folder Properties dialog box.

9. Click on the Permission Level drop down arrow to bring up a submenu and select Reviewer.

10. Repeat the steps above with the Inbox selected/highlighted

        **Make sure you choose following permission -

  •  
    • Permission level NONE.
    • Folder Visible.

11. Repeat the steps above with the actual selected/highlighted sub-mailbox that you want to share.

  • When you get to Permission Level you have the following choices:
    • Owner – Create, read, modify, and delete all Address Book, Calendar, private and public folder, and Mail folder items. User can change the permission levels others have for the folder.
    • Publishing Editor – Create, read, modify, and delete all items, and create subfolders.
    • Editor – Create, read, modify, and delete all items.
    • Publishing Author – Create and read items, create subfolders, and modify and delete items you create.
    • Author – Create and read items, and modify and delete items you create.
    • Nonediting Author – Create and read items, and delete items that you create.
    • Contributor – Create items only.
    • Reviewer – Read items only.
    • Custom – Perform activities defined by the folder owner.
    • None – Not perform any activity. The user has no permission and cannot open the folder.
  • Click the OK button.

To View/See a Shared Folder

1. Go to Entourage menu -> Accounts Settings.

2. An Accounts dialog window will open.

3.. Select Mail tab.

4. Double click on your Exchange Account.

5. An Edit Account dialog window will open.

6. click on the Delegate tab.

7. In the Users I am a delegate for, click the Add button.

8. A Select User dialog window appears.

  • Type in the name of the person who shared their email folder with you in the Find field.
  • Click on the Find button.
  • Select/Highlight their name in the window list. Click the OK button.

9. This User’s Name will be added to the list under Users I am a Delegate For in the Edit Account dialog box.

10. Click the OK button.

11. Close the Accounts dialog box.

12. The User’s Name will be added to Your Folder List.

13. Click on the arrows to the left of the User's Name to expand and see/access the email folders you have been granted sharing permissions to.


Stop Sharing a Folder

1. Select/highlight the mailbox you would like to unshare.

  • Press the Ctrl key on your keyboard and Mouse Click on the highlighted mailbox

OR

  • Right Mouse Click on the highlighted mailbox.

3. A submenu appears, choose Sharing.

4. A Folder Properties dialog window will appear.

5. Select/highlight the persons name.

6. Click on the Remove button.

7. Click the OK button.
